The log file is now available on the Order Import.

An Application Log is available for Order Import under Settings

The Company dependency was removed and is now only setup on the Accounts.


Definition

The release notes refer to different sections of the application:

Back Office: Where Customer Service Representatives (CSR) create and edit orders, create accounts, review drivers, etc.

Dispatch Board: Where Dispatchers assign orders to drivers, get notifications for invalid orders, etc.

Auto-Dispatch: This section refers to the automated order assignment setup and its process.

Administration: This section is in the Back Office but refers to sections only an administrator will use like Settings and Pricing.

Customer Portal: Where account users log in to create orders, view their order history, enter a credit card, etc.

Tracking site: Where customers enter a tracking number like the order ID or a reference number to view the status of their order.

Back Office

Account Credit Limit

A new credit limit is available on Accounts. The credit limit can be setup as a default value for all Accounts and can be modified at the account level to set different credit limit per Account. 

The default overall credit limit is set to infinite to ensure current functionality is kept as is. If you want to change this for all Accounts, please send an email to [email protected] specifying if this should be modified on your Test or Production site and the value of the default credit limit you wish to apply.

When an order is created by the CSR or the Account user or admin, the current order total is added to the total of all uninvoiced orders which are not cancelled and to the total of unpaid invoices. If this total is greater than the credit limit, the account is automatically blocked and the new order is put on Hold with a new system defined Hold type: Credit Limit Exceeded


Set Account Credit Limit

1) Open Accounts then click on an Account name to open its details. 

Note: If no default credit limit was setup, Unlimited will be displayed as the credit limit.

2) Click Edit in Billing Options section.

3) If no default credit limit was setup, the credit limit will show blank. 

4) Check the Override Credit Limit checkbox to enable the field and enter the new credit limit for the account.

5) Click on Save to save the changes.


Reset Account Credit Limit to Default Value

1) Open Accounts then click on an Account name to open its details. 

2) Click Edit in Billing Options section.

3) Uncheck the Override Credit Limit then click on Save.



Warning on Create Order Exceeding Credit Limit

When an order is created which would exceed the Account credit limit, the user will receive a warning to indicate that the credit limit is exceeded. The order will still be created but will be put on hold. This warning is shown to both CSRs and Accounts users and admins.

Unblock and Release Orders 

When an order is blocked, a  is displayed beside the account name in the Account List.

1) Open Accounts then click on the Account to unblock it once payment is received.
Note: If payment is not received, unblocking the account will simply release the order but it will be blocked again the next time an order is created.

2) Click on Unblock button

3) You will be asked if the orders should also be released:

When an account is blocked, either because credit is exceeded or for other reason, the CSR or account user will receive a warning and will not be able to create the order:

Master and Child Accounts

Setting up a Master account with Children accounts will allow an Account user or admin to login to the different accounts using one single login email. 

This also allows CSRs to view the Account user or admin under each account during order creation.

Note: the maximum number of accounts that can be associated to a master account is 450.


Create a Master Account

The first step will be to create a Master Account. 

1) Click on Accounts then click on the Manage Master Accounts link.

3) Click on New Master Account button

4) Enter the required Account Name and Account Number.
Note Account Name and Number do not have to be unique.

5) Enter the optional Contact name, phone, fax email, Address line 1 (you will select from the list of addresses and city, state/province and Zip/Postal code will auto-complete. 

6) Enter optional Address line 2 and notes then click on Save. 


Associate Children Accounts to the Master Account

Once the Master Account is created, Children Accounts can be added. 

1) Click on Accounts then click on the Manage Master Accounts link. In the Account list, click on the Master Account to edit.

2) In the Master Account details, click on Edit in the Accounts section to add Children Accounts.

3) Start typing the Account number or name to add to the Master account

Check the checkbox beside the Account name to associate it to the Master Account and the account will be selected.

Note: After typing 2 characters the list will start showing accounts that match your entry. Further filtering will occur as you type additional characters. Accounts already associated to a Master Account will not be displayed in the list.

4) On the Selected Accounts section, enter the required English description, enter an optional French description, import an optional icon, set an optional color and click on Save.

Note: Unchecking the checkbox beside the Account name will remove the account from the Selected List as well as clicking on .

5) Once completed, click on Save button to add all the Children Accounts.


Give Children Accounts' Users Access to Other Children Accounts

Once the Children Accounts are associated to a given Master Account, you can grant users from within a Children Account  access to other Children Accounts.

1) Click on Accounts then click on the Manage Master Accounts link. In the Account list, click on the Master Account to edit.

2) In the Master Account Details click on Users in the Accounts section.

3) In Users, start typing the user name or the Account name or number to filter the list of users starting with a minimum of 2 characters.

4) Click on the user who should get access to different Children Accounts. The user will be added to the Selected User List.

The Child account the user is associated to will automatically be checked and cannot be unchecked. 

Check the box beside each Child account that the user should have access to then click on Save.

Repeat for each User, saving in between each user.


Edit a Master Account Details

1) Click on Accounts then click on the Manage Master Accounts link to open and edit.

2) Click on the Edit in the Master Account section to modify then click on Save


Delete a Master Account 

1) Click on Accounts then click on the Manage Master Accounts link to open and edit.

2) Click Delete button then click OK to confirm deletion.

Note: Deleting a Master Account cannot be undone.


Edit a Master Account's Child Accounts' Association

1) Click on Accounts then click on the Manage Master Accounts link to open and edit.

2) Click on Edit in the Accounts section.

3) In the Selected Accounts, click on to remove an account association.

Use Search to add an association to other Children Accounts.
Note: all users associated with the account will automatically be removed. All users that were associated to this account will no longer have access to the deleted account.

4) Click on Save when completed.


Edit a Master Account's Child Account User Association

1) Click on Accounts then click on the Manage Master Accounts link to open and edit.

2) Click on the Users in the Accounts section

3) In Users, type the name of the user. Click on the user to show the Children Accounts associated to the user. Uncheck the checkboxes of Accounts the user should no longer get access to.

4) Click Save when change is completed.


Creating Orders for Children Accounts

When a CSR creates orders for users who are associated to multiple Children Accounts, the name of the user will show under all Children Accounts. 

Simply select the user under the correct account.

When an Account user logs in to the Self-Serve and user is associated to multiple Children Accounts, the user will be able to select which account to create or view orders:


Drivers

Vehicle type is now a required field when creating on all drivers. When creating a new driver, the Vehicle type, located in the Driver Details, will default to the Vehicle set as default in Pricing. 


Import Orders

The import order feature has been enhanced to allow you to upload the order file asynchronously. This will give you access to your import file as well as the log file even after leaving the page.


1) Open Orders then click on Import.

You now see a history of imported order files. This list includes an action column where you can download the original file or the log file.

Note: Account admins will see all import files. Account users will see their own import files.

2) Click on Import File

3) Click on Choose File, navigate to find the file to import .

4) Click on Import

The window refreshes to show the import file list.

Note: You can click on   to refresh the list and see the status.

Once status shows as Completed, you can use the Download menu to download the log file. 



Dispatch Board

Driver Stop List

In the Driver Stop List, click on an order to open its details and from its details, click on  < to return to the Stop List.

In the Driver Stop List map, click on a stop to open its details.

1) In the Dispatch Board, click on Drivers

2) In the list of Drivers, click on a driver to open his/her orders

3) Click on Stop List to view the order in which the stops have been optimized

4) In the Stop List, click on an order to open its details then click on < to return to the Order List

Click on X or anywhere on the map to close the Order Callout

Click on to dispatch the order to another driver

Click on the order number to view its detail then click < in the order details to return to the Stop List


Order Callout

In the Order Callout, the driver has been added as a link. Order Callout can be opened from any pickup/delivery stop on the map in Maps, Drivers Order List or Drivers Stop List. An Order Callout is also displayed when hovering on an order in the Map Order List.

2) In the Order Callout, click on the Driver Name to open the Driver Order List

Administration

Company

The company dependency has been removed from the following:

1) Price Lists

2) Service Levels and Service Level Schedules

3) Fuel Surcharge Schedules
4) Extra Fee Schedules 

5) Parcel Type Schedules

6) Notification Templates


This means that the same price list or same schedule can be used on accounts from different companies. 

At deployment, some service levels that had the same name were merged. This will have no impact on your service levels or your price lists. 

To differentiate between the parcel type schedules and the notification templates for the different companies, schedule names were appended with "for company name".


To preserve the default extra fee schedule, fuel surcharge schedule, notification template, parcel type schedule and price list default selection on account creation, the defaults can be setup in the Company Details.


Set Company Default Schedules

1) Open Settings then click on Companies.

2) Click on a company to open its details and select in the 5 last fields: the default for extra fee schedule, fuel surcharge schedule, notification template, parcel type schedule and price list:

Vehicle Type

A default setting has been added to the vehicle type list. The default vehicle will automatically be associated to the driver when new driver is created.

On deployment, a vehicle type has been set as default.


Change Default Vehicle

1) Open Pricing then open Vehicles

2) In the list, click on the star beside the vehicle which should be used as default on new drivers.


Zone Management

Here are the changes done:

1) When clicking on a zone in the map, the zone will be checked in the list

2) Zoom level will no longer change on its own

3) Hovering on a zone in the list no longer moves the map. 

4) Selecting a zone in the list will move the map with the same zoom to show the zone.


Application Log

A new Application Log file is available under Settings. You will find on this tab the log files and messages for all imports.


Service Level Setup for Holidays, Weekend, Off Hours with Extra Fees
