Definition

The release notes refer to different sections of the application:

Back Office: Where Customer Service Representatives (CSR) create and edit orders, create accounts, review drivers, etc.

Dispatch Board: Where Dispatchers assign orders to drivers, get notifications for invalid orders, etc.

Auto-Dispatch: This section refers to the automated order assignment setup and its process.

Administration: This section is in the Back Office but refers to sections only an administrator will use like Settings and Pricing.

Customer Portal: Where account users log in to create orders, view their order history, enter a credit card, etc.

Tracking site: Where customers enter a tracking number like the order ID or a reference number to view the status of their order.

Account API: API provided to your accounts to create, update and get orders. For documentation, please follow this link:https://api.dispatchscience.com/
Tenant API: API provided to you to create orders for your accounts, retrieve invoices and change invoice status. For documentation, please follow this link: https://api.dispatchscience.com/  


Driver App version

There is no Driver App release for this version, please use version 1.13.619/1.13.620. Please see Release notes for Driver App.


Back Office

Reports

Reports on Lists: Account, Drivers, Orders,  Order Details and Transactions automatically show in Print Preview mode in Full Page view. 


New reports available on Transactions

The following reports are available to be printed for the transactions:

A/R Aging Detail : can be filtered by companies and applied as of a specified date.

A/R Aging Summary: can be filtered by companies and applied as of a specific date, with account contact info if needed.

Sales Journal: Applied to a date range with grouping by company, account or date. Can be filtered by transaction type and statuses. 

G/L Detail: Applied to a date range with filter by companies.

G/L Summary: Applied to a date range with filter by companies.

Order Details

Some changes were done on the Order details such as addition of the pickup window, visibility of the phone number for pickup and delivery sections, ability to add or edit attachments on an order, set a new flag to verify an order before driver settlements.


Pickup Window

A new field was added on the order to enter a pickup window rather than just a Pickup from. 

By default, Pickup To will be equal to Delivery To. 

This can be edited however, Pickup To cannot be before Pickup From and cannot be after Delivery To.

Entering an invalid Pickup To will not be allowed, on tab or click in another field, the Pickup To will revert to Delivery To.

To enter a Pickup To later than the Delivery To, first modify the Delivery To.

To enter a Pickup From earlier than the Pickup From, first modify the Pickup From.


Phone Number Visibility in Pickup and Delivery Sections

The phone number which was only visible when editing the pickup and delivery section now shows on the order in those section when they are collapsed.


Add, Edit or Delete Edit Attachments

Images can be added, edited or deleted after an order has been created and up until the order is invoiced. 


Open Attachments Section

1) Open an order which is not yet invoiced.

2) Click on Attachments tab

3) If no attachments are added to the order, the attachment section will be empty with a message:

If one or more attachments were added by CSR or driver, the attachments will show in the section:


Add an Attachments

1) In Attachment, click on Edit button

2)Click on

3) Click on Choose File, navigate to where the image is stored, select and open

4) Enter notes if needed and if this image should be included with the invoice, check the Include with Invoice checkbox.

Note: In order to see the attached image on the invoice, the invoice report must be modified to include the possibility. Please contact Support to review the options available on your invoice.

5) Click on Apply button when done.

6) Click on Save when returned to the Attachments section

On save, the image will be displayed with the icon indicating if a note was added or if the Include with invoice was selected .


Edit an Attachment

1) In Attachment, click on Edit button to start editing.

2) Click on the pencil on an image to edit the image, its note and flag to include with invoice.

3) Make necessary changes then click the Apply button.

4) Click on Save once done.

Note: The changes will only be saved when clicking on the Save button in the section.


Delete an Attachment

1) In Attachment, click on Edit button to start editing.

2) Click on the garbage can on an image to delete the image, its note and flag to include with invoice.

3) Click on Save once done.

Note: The changes will only be saved when clicking on the Save button in the section.


Set or Remove Flag to Verify Order Before Driver Settlement

A new flag is available to be set on an order to ensure order is verified before generating driver settlements.

1) Open an order and from the menu select Verify before driver settlement or Verify before both

This will set the flag(s) and order will not be included in driver settlement until it is removed.

2) To remove the flag(s), select from the menu Ready for driver settlement or Ready for both.

Order Details Pickup Window

The new Pickup To date will show:

In the Order Popup

The Pickup To can be edited and the following rules will apply:

Pickup To must be after Pickup From and before Delivery From otherwise an error will be display when you attempt to save the change.


Administration

Driver Settlements

Settlements can be generated for the drivers. For more information , please review Driver Settlements.


Verify Orders Before Driver Settlements

You can setup to have the orders verified before driver settlement in the Accounts. For more information, please review Transactions.



Taxes on Invoices

The taxes on invoices were taken from the tax selected on the account. This is still used however, if a tax is associated to a province or state, the delivery state/province will be used to calculate the tax on the invoice.



Tenant API

Account User Creation

When creating an account user through the API, the user email is now optional. If user email is not included, the password should not be included either.


Fuel Surcharge Update

The fuel surcharge can be updated through the API.
