Managing Credit Cards on an Account

Adding a credit card to an account allows orders to be paid automatically when placed using the Self-Service portal. This article outlines the steps to add, edit, and delete credit cards on an account.


Who Can Manage Credit Cards?

  • Administrators

  • Customer Service Representatives (CSRs)

  • Dispatchers


Prerequisite: Payment Gateway Setup


To use credit card functionality, you must first set up your own Stripe payment gateway.

Dispatch Science does not provide a default gateway — it must be configured under your account settings.


Add a Credit Card to an Account

  1. Navigate to the Accounts tab.

  2. Locate and click on the account name where the credit card should be added.

  3. In the account details, click Edit in the Billing Options section.


    4. Ensure the Billing Method is set to Credit Card.

  • If not, select "Credit Card", save, then re-open the Billing Options to proceed.


    5. Click the Add button to add a new credit card.


    6. The Cardholder Name defaults to the account contact but can be updated as needed.


    7. Enter the following details:

  • Card Number

  • Expiry Month and Year

  • CVC Code


    8. Click Add Credit Card.




Note: If there is a problem with the credit card, an error message will be displayed and the card information will be erased:


The credit card is not saved in the database, only last four digits are saved for visualisation purpose. A token is received from Stripe which will be used to request payments.


 Security Information

  • Full credit card details are not stored in the system.

  • Only the last four digits are visible for reference.

  • A secure token from Stripe is used to process payments.



Edit a Credit Card on an Account

  1. Go to the Accounts tab and select the appropriate account.

  2. In the account details, click Edit in the Billing Options section.


    3. Click Edit next to the credit card.


4. Click Edit next to the credit card.


5. Update the credit card details.


6. Click Update Credit Card to save changes.




Delete a Credit Card from an Account

    7. Open the Accounts tab and select the relevant account.


    8. Click Edit in the Billing Options section.



    9. Click Delete next to the credit card information.
